Trade fair video production, finished before the show instead of three weeks after

The usual trade fair film is shot on day two, between visitors, with hall noise in the sound and a competitor walking through the back of frame. We shoot earlier: in the studio, in front of a 35 m² LED wall where your booth, your factory floor or your brand world already stands. If it has to happen at the stand, the wall travels with us. In English, end to end.

The timing

A trade fair video earns its money before the fair.

Invitations, landing pages and ads run four to six weeks before the doors open. That is exactly when the film is needed. Shoot in the hall instead, and it arrives three weeks after the last show day, the moment nobody has a use for it any more.

On top of that comes what a shoot in the hall really costs: hall acoustics instead of clean sound, exhibition lighting instead of film lighting, your people in sales conversations instead of in front of the camera, and no second take, because the hall gets dismantled. Travel, hotel and standby for a waiting crew are on the invoice as well. The long version of that calculation is in the guide trade fair video without the trade fair stress.

In the studio it turns around: several environments in one shoot day, sound and light under control, and the finished look captured in camera, visible on the monitor instead of promised for post.

What we produce for exhibitors

Six formats, one shoot day.

Invitation filmThe film that does the work before the show: for the invitation, the landing page, ads and social. It is ready when the campaign starts, not three weeks after the hall is dismantled.
Product filmYour product in an environment that matches how it is used: factory floor, laboratory, site or your own brand world. No travel, no permits, no weather.
Booth tourA walk through your stand, shot in the studio in front of the virtual booth model, so you can show the stand before it physically exists.
Interviews & statementsManagement, engineering, sales: recorded calmly, with clean sound and a teleprompter, instead of squeezed between two customer meetings in a loud hall.
Show recapThe aftermovie, the one format that genuinely belongs on site: atmosphere, visitors, conversations at the stand.
Digital in-house showInstead of building a stand, you broadcast from the studio, with several environments for several product areas in a single day.

Most clients combine them: an invitation film, two product films and three statements come out of a single day, because the environment changes in minutes and nobody drives between locations. Whether that beats a classic multi-location shoot is something you can work out yourself in the shoot-day cost calculator.

The set

Your booth, before it is built.

If your stand builder has the data, it becomes the environment on the LED wall: CAD, BIM or 3D files are prepared for Unreal Engine, and you shoot in front of your stand while it is still a drawing. How construction data turns into a film set is described in CAD data to virtual sets.

Without booth data it works just as well: the set library covers factory, laboratory, architecture and studio looks, or we build a neutral environment in your brand world. That one is ready again from the second production on, which makes the following years noticeably cheaper.

And the fair itself

What has to happen at the stand, we shoot at the stand.

Atmosphere, visitors, conversations, the recap in the evening: that belongs on site, and we shoot it the classic way, as the film production we are. The advice is not to avoid the fair, it is to pull forward everything that does not have to happen there.

If the LED wall itself should stand at your booth, the mobile setup travels anywhere in Germany from 4,500 € per day plus travel. The build takes around three days, so it pays off for multi-day appearances, and your stand becomes the attraction.

How it works

From brief to delivery.

1

Tech call

A free 15-minute call in English: which fair, which date, what the film has to achieve, and whether booth data exists. After that both sides know what belongs in the studio and what belongs on site.

2

Concept & fixed quote

Running order, environments and a transparent fixed quote within 24 hours of the call.

3

Environment & shoot day

We prepare the set and shoot everything that plays in several environments in one day. You watch the finished image on the monitor instead of waiting for post.

4

Edit & versions

Edit, graphics, subtitles and the formats you need: landing page, social, booth screen, sales.

Pricing

What the price is made of.

All prices are net. What is included in the day rates and what is billed on top is public on the pricing page. If your occasion is a celebration rather than a shoot, see corporate events.

Which fair is coming up?

Tell us the fair, the date and what the film has to achieve. We will say openly what belongs in the studio and what has to be shot at the stand, and send a fixed quote within 24 hours.

Frequently asked

Good to know.

What does trade fair video production cost?

The shoot day is the part you can plan with: from 2,500 € per day in the studio with our LED and tracking operator, or from 1,450 € per half day as a dry hire if you bring your own crew. Preparing the environment, the edit and the versions come on top, depending on scope. After a short tech call you get a fixed quote within 24 hours. All prices are net.

How much lead time do we need?

The film is only useful if it is finished before the show, because invitations, landing pages and ads usually run four to six weeks ahead. Plan a few weeks from the briefing, a little more if a set is built from your booth data.

Can you rebuild our booth as a set?

Yes, if the data exists. CAD, BIM or 3D files from your stand builder become an environment you shoot in front of, before the real booth is built. Without data we work with a neutral set in your brand world.

Do you also shoot at the fair itself?

Yes. For the recap, interviews at the stand and atmosphere, shooting on site is still the right call. Our advice is not to avoid the fair, but to pull forward everything that does not have to happen there. If you want the LED wall itself at your stand, the mobile setup travels anywhere in Germany from 4,500 € per day plus travel.

How far is the studio from the Nuremberg exhibition centre?

Our stage is in Erlangen, around 20 minutes by car from Nuremberg city centre and close to the exhibition grounds. For exhibitors at SPS, embedded world or BIOFACH it is the shortest distance between hall and studio. Munich, Stuttgart and Frankfurt are one to two hours away.

Do you work in English?

Yes, end to end: briefing, set, shoot day and post in English. Creative Studios is the studio arm of CreativeCinema GmbH, a film production company in Erlangen, Germany, so concept, crew and edit come from one team rather than from a room plus a separate crew.
